Before you start your Accounting Integration

Before QSROnline starts your integration we will need some specific accounting documents.

Quickbooks

  1. Sample of a Daily Journal Entry (for a single day)
  2. Daily Sales Report from your POS System (same date as Daily Journal Entry)
  3. Copy of your Chart of Accounts
  4. Backup of your QuickBooks File (QBM type)
  5. Username and Password (if the file is protected)

Quickbooks Online

  1. A Sample of a Daily Journal Entry (single date)
  2. A Daily Sales Report from the POS system (same single date)
  3. A copy of your Chart of Accounts (COA) in .IIF
  4. QuickBooks Online Administrative Log-in information (username/password)

Intacct

Accessing the data Intacct or the customer needs to supply:

  1. Login CompanyID
  2. Login Password
    1. Note: The Intacct password cannot contain the “&” symbol
  3. User ID default is xml_gateway but an alternate can be provided
  4. Sample Daily Journal Entry (for a single day)
  5. Daily Sales Report from your POS System (same date as Daily Journal Entry)

 If a new user is created for QSROnline to have access to data within Intacct please ensure the checkbox for “web services only” is chosen. Not selecting this option may result in additional charges.

Other Accounting Software

QSROnline will need the format required by your accounting software to import journal entries and vendor bills. The file format should display the layout and information needed by your accounting software in order to accurately import data. QSROnline’s Integration Specialist will create a custom accounting file for your company, based on the file format and your company’s needs.

Things You Should Know:

  1. Chart of Accounts: QSROnline will use the chart of accounts from the location of your choice. Your chart of accounts should match across locations. If they do not match QSR will walk you through setting up the different accounts. If you prefer QSR to complete this process you will be billed at $100 hour for additional customization. If you make changes to your chart of accounts it is your responsibility to update your QSROnline journal entry to match. Steps to complete this can be found in the QSROnline Help Guides under (Editing Accounting Codes)
  2. Admin access: QSROnline may need admin access on your computer to install the integration software. You may also need access to the admin account in the accounting software.
  3. Quickbooks Desktop File Name: QSROnline uses your Quickbooks file to import journal entries and vendor names. If the file name is changed the QSROnline Sync, used to import files, will also need to be updated.
